Administer requestors

The Requestor management page can be used to administer Shop requestors.

Create new requestors

To create a new requestor definition:

  1. Click the Create requestor button at the top of the list of requestors. A requestor creation editor opens at the right of the Requestor management page.

  2. In the Requestor dropdown, select the Shop user for whom the requestor definition applies. This Shop user will be able to request for a set of persons determined by the requestor definition.

    Note that a Shop user for whom no requestor definition has been created will only be able to request for themselves.

  3. In the Ordering rights section, select the requestor's scope of requesting.

    • Choose Can request for all recipients if the requestor should be able to request for all persons.

    • Choose Can only request for selected recipients if you plan to further define for whom specifically the requestor will be able to request.

  4. In the Recipient groups dropdown, select recipient group types which will be used for recipient selection. Multiple items can be selected.

    • If you want to be able to select individual persons, make sure item Individual recipients is selected in the dropdown.

    • For group-selection of recipients, select one or more other recipient group types listed in the dropdown. Selecting a group type will display a dropdown for further selection of recipient groups belonging to this group type. For example, selecting group type Organizational units will enable group-assignment of all recipients belonging to individual organizational units just by selecting these organizational units in the next step.

      Note that the Recipient groups dropdown only lists group types previously created for this purpose in USU Service Management. If you need to group-assign recipients according to a useful criteria, first create a corresponding group type.

  5. In the Recipients and Recipient groups section, make the final selection of individual recipients and/or make group selection of recipients based on group types selected in step 4.

    • If the Individual recipients item is part of the selection made in step 4, then the Individual recipients dropdown is displayed in the Recipients and Recipient groups section. Use it to select individual persons as recipients.

    • All other recipient group types selected in step 4 facilitate group-selection of recipients. In the Recipients and Recipient groups section, each recipient group selected in step 4 is represented by a separate dropdown. Use these individual dropdowns to group-select recipients according to their affiliation to existing recipient groups.

      To continue the example in step 4, if group type Organizational units was selected in this step, then the corresponding Organization unit dropdown in the Recipients and Recipient groups section can be used to group-select recipients according to their affiliation to organization units.

  6. Click the Create requestor button to save the requestor definition. A new requestor is created and remains displayed in the read mode of requestor detail.

    Hint: You can use the See all recipients links in the requestor detail to see a list of individual recipients belonging to the corresponding recipient group.

Edit existing requestors

To modify an existing requestor definition:

  1. Select the requestor in the list of requestors. The requestor gets displayed in the read mode of requestor detail. You can use it to get an overview of the requestor definition, possibly also using the See all recipients links to see which individual recipients are assigned.

  2. Click the Edit requestor button to switch to the edit mode.

  3. Perform modifications as needed. Refer to steps 3, 4, 5 above for information on available requestor attributes.

  4. Click the Update requestor button to save the changes.

Delete requestors

To delete a requestor definition:

  1. Select the requestor in the list of requestors. The requestor gets displayed in the read mode of requestor detail.

  2. In the requestor detail, click the ... Actions button and select Delete. A confirmation dialog gets displayed.

  3. In the dialog, click Delete to delete the requestor.

    Note that deleting a requestor will result in the corresponding Shop user being able to request only for themselves.
